Beweging 3.0 is active in the field of care, living and welfare in the Eemland region. During the corona period they switched to the new digital workplace of Simac, based on the Synigo Pulse platform. Connie van Rooijen, Team Manager Functional Management at Beweging 3.0 explains what was involved for the project team and the 3,000 employees.
Future-proof digital workplace
Connie explains why it was necessary to switch to a new digital workplace: ''It was a very big project for us. After all, we were completely changing the way we work. From new systems and network applications to the transition to Microsoft 365 and hosting all applications in one portal. Our previous system was very outdated in terms of technology. Everything was tied together wood by wood. In order to provide optimal care, it is important to have a good and future-proof digital workplace."
Complete system
''Simac advised us in the choice of our new digital workplace. We were already used to working from a Content Management System, so that was important to us. To be able to be at the controls ourselves. And we were looking for a complete system with many options that would do justice to the Microsoft 365 functionalities. We received good guidance from Simac and the choice for Simac's digital workplace, based on Microsoft and Synigo Pulse, was quickly made.
''We have district nursing, which is constantly on the move from client to client. Intramural care, at a specific location. Our Leef3 and Welzijn branches, which support people in the region with social work and table-service. We offer day treatment and rehabilitation care for the elderly. And, of course, we have our support services that work from the office or home. Our services continue 7 days a week, 24 hours a day. That made the implementation of the digital workplace quite an exciting process for us. After all, we wanted to reach everyone. And really make it the starting point of the working day for employees.’’
Shortage of hands
''We had thought about transferring all the content from the old tooling to the new environment. We were wrong about that. The layout is different and you have to restore so many links. And information that was current three months ago is no longer current, especially in corona times. To keep the momentum going, Simac arranged for content experts. They transferred the content efficiently. We were very well facilitated, advised and helped by Simac and Synigo, in order to eventually make the transition to the new digital workplace on time. And to present the content in a beautiful and good way.''

Remote project
Corona caused the project for Beweging 3.0 to run a little differently. ''We started in the middle of corona time. That caused us to do the whole project remotely. There was even a phase when no one could come on site. That caused the project to go with some fits and starts. To give an example, some project members only met live during the farewell dinner. As you can imagine, the fine-tuning of a new digital workspace is sometimes a bit more difficult when you haven't yet looked someone in the eye. Despite that, we didn't let that stop us and met the deadline. I am very proud of the end result! We now have a landing page with organizational news, a social timeline and a clear knowledge base. Which is also accessible via an app on your mobile.''
Going live with extra energy
Connie looks back on going live: ''Before the summer vacations, two locations went live and then a different location every week. During the week we went live at one location, fellow experts were physically present to support. Resources needed for work were handed out (think telephony, laptop, etc.). There were also smoothies, so colleagues got some extra energy. Once everyone had transitioned to the new digital workplace, we took extensive time for aftercare. This is important for employees who are somewhat less digitally and technically proficient.''
''The enthusiasm of employees is great and provided immediately visible functionality and performance. Still, you by no means get everyone on board right away. We are now surveying our employees. They like the fact that we have one place where everything comes together, such as their favorite apps, news and the knowledge base. But they also think that it could be even clearer and more relevant. We would like to have one platform for our communication within Beweging 3.0."
Further optimization
The project team is now getting ready for the optimization phase: ''We still have the organizational news available to everyone right now. But we can well imagine that people who work at a particular location want to see different things - specific to their location. We have therefore started the 'optimization' project. So that, with the spirit of the times, we can support our employees even better. The digital workplace is a very nice platform that you can set up completely according to your own wishes. And with which you can reach different target groups within the organization very specifically. That is where we must and will put our energy. So that it becomes the work environment that everyone remains enthusiastic about.
